Phantom Ranch Groups
Requesting Group Information
For overnight stays at Phantom Ranch, a minimum of 10 to a maximum of 20 hikers, or parties of 10 mule riders, is designated a Group. All Groups are booked with one 10-person cabin. Hiker Groups of more than 10 will have the remainder of space divided between male and female dormitory spaces (not in cabins), if available*. Sorry, we can’t accommodate more than 20 people per day on group reservations.
Group space opens to requests on the 1st of each month, for the entire same named month of the next year (i.e. Group space for July 1-31, 2008 may be requested beginning on July 1, 2007, etc) via written request only. The only exception to this rule is January, which will be accepted on January 2nd. Requests received on the first of the month (no earlier than 12:00:01 a.m. Arizona Time - Arizona doesn't observe daylight saving time so please be sure you have the correct time) will be processed prior to requests received before midnight (which is still the last day of the previous month), since the request period is closed at that time.
Requests must include:
- Total number of people in your Group. We will need to know the number of males and females in your Group, in order to best allot the segregated dormitory spaces.
- Date(s) of stay: Please submit as many valid dates (or even specific time frames) in your request as you wish, to improve your chances. Limiting yourself to a very narrow time frame and/or specific days of the week may limit your chances for success. Include all possible alternatives, and indicate your first choice, etc.
- Please do not indicate a time frame in seasonal format such as spring or fall as this is quite subjective. Indicate by month and/or date only, e.g.: "any 2 nights between April 15 and June 15 of (include year)."
- There is a maximum two night stay per Group (in a five day period) from March 20 through June 30 and September 1 through October 31.*
- Any meals that are required. We strongly recommend requesting your meals at the same time you request the overnight accommodations. Hiker meals must be reserved in advance, and do sell out. Meals are available and sold to both Phantom Ranch guests and to hikers staying in the campgrounds. Reserving overnight hiker accommodations at Phantom Ranch doesn’t guarantee availability of meals. Phantom Ranch Mule Trips include meals.

Additional information
The 3 Hour Abyss Overlook mule trips are limited to a maximum of 10 riders on any given day. This is in addition to any phantom ranch groups.
Confirmation
If space is available for your group, you will be sent a contract within 2-3 weeks. If space is not available, notification will be sent within one week.
Payments
A deposit in the amount of 50% of all items booked for the group is due 14 days from the date a contract is issued, with the balance due 90 days prior to the group’s arrival. Please do not include a deposit with your request for group space.
Cancellations
Group reservations and any part thereof must be cancelled at least 30 days prior to arrival to receive a refund.
Less than 10 people
Parties with less than 10 people must make their reservations directly with our Central Reservations office at Xanterra Parks & Resorts. Phone: 303.297.2757 or 888.297.2757.
*Phantom Ranch individual reservations are also accepted on the first of each month, 13 months in advance (see example in second paragraph above). During the most popular periods, this means dormitories are just as likely to sell out to individuals. Groups of more than 10 and stays of more than one night are extremely difficult to obtain during these popular periods.
