For overnight stays at Phantom Ranch, through December 31, 2018, a minimum of 10 to a maximum of 20 hikers, or parties of 10 mule riders, is designated a Group. For reservations on or after January 1, 2019, parties of 10 mule riders may book their reservation by contacting our Central Reservations office at Xanterra Travel Collection. A limited number of dinners and breakfasts are served family style at set times in the Phantom Ranch Canteen. Meals must be reserved in advance. Please check meal times prior to hiking into Phantom Ranch as times are subject to seasonal changes. Persons staying at the bright angel campground may also reserve meals.
Phantom Ranch Lottery Group Submission Terms & Conditions
The lottery submission form is for submitting a Group entry (reservation request) to the Phantom Ranch lottery. Submissions do not guarantee a reservation at Phantom Ranch. Entries are accepted for one month at a time based upon the schedule outlined at www.phantomranchlottery.com. Entries are limited to one per person or company. Entries tagged as duplicates will be removed from the lottery process. This form is intended for Groups requesting to reserve 10 to 20 Hikers. Requests for up to 9 Hikers or up to 10 Mule Riders should submit the Phantom Ranch Individual form.
Lottery winners will be selected at random. Requests of winning submissions will be compared to the current available inventory with a maximum of one group per day/night. Reservations will be booked when we’re able to match the request based upon the specified arrival date(s), number of nights, quantity of guests, accommodation type, etc. for first, second and third choices as indicated. Winners will be notified via email and provided up to 14 days to guarantee the reservation with a 50% deposit of full prepayment of the reserved accommodations. We recommend meals or duffel service be included with the Group submission for the best opportunity to reserve these services. Any unclaimed/unsold inventory will be made available to the general public. (see schedule)
Group reservations at Phantom Ranch require a deposit in the amount of 50% of all items booked for the group within 14 days from the date a contract is issued. The remaining balance is due 90 days prior to the group’s arrival date. Any modifications to the reservation may result in the entire reservation being subject to the new applicable rate.
Phantom Ranch reservations must be canceled at least 45 days prior to arrival to receive a refund of the deposit. Cancelations made within 45 days will result in full forfeiture of the deposit. Reductions in quantities are considered a cancelation and this cancelation policy applies. Reductions below the Group minimum of 10 guests per night are not permitted.
Example: The original reservation is for 14 hikers with a cabin, dorms and meals. One of the hikers is unable to go and the reservation is reduced from 14 to 13 less than 45 days prior to the arrival. This is considered a cancelation of 1 hiker, thus the deposit for the one canceled hiker is non-refundable.
